Preferred Name & Pronoun Changes

OUR COMMITMENT TO INCLUSION AND RESPECT

Napa Valley College is committed to fostering an inclusive, welcoming, and respectful environment where all members of our campus community can learn, work, and thrive. We recognize that names are an important part of personal identity and belonging. In accordance with California law and Napa Valley College's commitment to equity and inclusion, students can use the below process to make a change to the name used by the College in records where a legal name is not required by law. Napa Valley Colleges policies prohibit discrimination on the basis of sex, gender, gender identity, gender expression, sexual orientation, and other protected characteristics. If you believe you have experienced discrimination, harassment, retaliation, or have concerns regarding the use of your affirmed name or gender identity, please contact the Title IX and Civil Rights Office, where you will be provided with information regarding your rights, available support resources, and options for addressing concerns related to discrimination or harassment.

DEFINITIONS

Please use the following definitions to determine which process suits your needs.

Affirmed Name- A name that reflects an individual's identity and is used in place of a former name or deadname. Affirmed names are commonly used by transgender, nonbinary, and gender-diverse individuals, though other circumstances may also apply.  This process DOES NOT require a legal name change, although there are a few limitations due to some documents requiring an individuals legal name.

  • An affirmed name request is intended to ensure that an individual's identity is respected throughout the college experience and that college systems reflect the individual's affirmed identity wherever legally permissible.
  • Affirmed names will be reflected in:
    • Canvas
    • Counseling and student support systems
    • Outlook/ Email*
    • Student directories
    • Student engagement platforms
  • This name will also apply in the following documents:

Chosen Name - A name that an individual prefers to use in place of their legal first name. A chosen name may be a nickname, shortened version of a legal name, middle name, or another name that an individual uses in daily interactions.

  • A chosen name request is intended for individuals who wish to use a preferred name while maintaining their legal name in official college records.
  • Chosen names will be reflected in:
  • Canvas
  • Student information systems

 

PROCESS FOR REQUESTING AN AFFIRMED NAME

Students who wish to use an affirmed name must submit an . Upon submission, the College will work to update the affirmed name in applicable systems where a legal name is not required by law. The items that will be updated include:

  • Canvas rosters
  • Campus communications
  • Class rosters
  • Counseling and student support systems
  • Diplomas
  • Email display name
  • Email address*
  • Student directories
  • Student engagement platforms
  • Student IDs*
  • Transcripts*

*Those items followed by an asterisk require additional steps for completion

 

ADDITIONAL STEPS:

Email changes may only occur during designated periods of the academic year due to technical requirements within our system. After submitting an , individuals requesting an email address change should watch for follow-up communication from Information Technology Services. An IT representative will contact you to coordinate the timing and process for your email transition to ensure that:

  • Existing emails are preserved
  • Files and account permissions are transferred correctly
  • Access to college systems is maintained

Student IDs can be updated by visiting the Office of Student Life in Building 1300, Office 1342.

Transcripts can be requested by contacting ANRMAIL@napavalley.edu

Please Note: Certain records must continue to display a legal name when required by state or federal law, such as those pertaining to accreditation requirements, financial aid regulations, employment requirements, tax reporting obligations, or other legal mandates. Where permitted by law, Napa Valley College will make every effort to use an individual's affirmed name in college systems and records.

PROCESS FOR REQUESTING A CHOSEN NAME

 A chosen name may appear in the following documents:

  • Canvas rosters
  • Class rosters
  • Campus communications

Students may update their chosen name through Self-Service and Canvas as detailed below.

CREATING A CHOSEN NAME IN SELF-SERVICE:

  1. Log in to the NVC website
  2. Choose My NVC Self-Service app
  3. Click the area with your email display name and a person icon in the far left corner
  4. Choose User Profile
  5. Choose the button directly under your legal name labeled Edit Personal Identity
  6. Fill in the name and pronoun information as desired

CREATING A CHOSEN NAME IN CANVAS:

  1. Log into Canvas
  2. Choose the Account option in the top left with a person icon
  3. Choose the Profile option
  4. Choose the Edit Profile button with a pencil on the right side of the page
  5. Fill in the name and pronoun information as desired
